Getting started

7 questions

What is MeetZaa?

MeetZaa is a trade show meeting management and lead capture platform built for exhibitors. It holds every booked meeting and walk-in at your stand in one record per buyer, lets reps capture what was said in a voice debrief, and drafts the follow-up the same day. It is built for the small and mid-size exhibitor doing three to eight shows a year, not only for enterprise event teams.

How do I start using MeetZaa for my next trade show?

Sign up free, create your event, and add your reps. Your first 20 meetings are free with every feature switched on, so you can run a real show before deciding. When you need more, buy a key for the plan you want and apply it to the event.

How long does it take to set up MeetZaa before a show?

Most teams are live within ten minutes. Set-up is four steps you do yourself: create an account, create the event with its dates and city, apply a key if you have one, and invite your reps. Uploading an existing meeting sheet takes another minute or two.

Do my reps need training to use MeetZaa at the stand?

No. At the stand a rep does four things: tap met or no-show, hold a button and talk, scan a business card for a walk-in, and pick an outcome. Nothing is typed on the show floor, which is the reason it keeps getting used on day three.

Does MeetZaa work on both iPhone and Android?

Yes. MeetZaa runs in the phone browser on iPhone and Android, and on a laptop for managers. There is nothing to install from an app store; reps open a link and sign in.

Can I import meetings I have already booked before the show?

Yes. Upload an Excel or CSV file with your meeting sheet. MeetZaa maps the columns, sets the times to the show timezone and catches duplicates. You can also add a single meeting by hand.

What do I need to bring to the show to use MeetZaa?

A phone with a browser. There are no devices to rent, no apps to install and nothing to hand back. The rep opens a link, signs in and starts capturing.

Plans, keys and pricing

10 questions

How much does MeetZaa cost?

MeetZaa is priced per show, not per seat. Your first 20 meetings are free. After that a Starter key is $99 per event, a Business key is $149 per event, and Enterprise plans are quoted for your requirements. You buy one key for each show you exhibit at.

What is a MeetZaa key and how does it work?

A key is one show’s worth of a plan. You buy a Starter or Business key, create your event, and apply the key to it. That event then runs on that plan’s features with no meeting cap. Buy as many keys as you have shows this year; an unused key simply waits for its event.

Can I use a Starter key on one show and a Business key on another?

Yes. Plans are attached to the event, not to your account. A regional show can run on Starter and your biggest show of the year on Business, from the same login with the same team.

What is included in the MeetZaa free plan?

The free plan is the full Business plan for one event, with 2 reps and 20 meetings in total across your account. Card scanning, voice debriefs, lead scoring, drafted follow-ups and the live team board are all on, so you test the real product, not a cut-down version. Upgrading never removes anything you already have.

Does MeetZaa charge per user or per seat?

No. You pay per show, not per person. A Starter key covers up to 5 reps on that event and a Business key up to 12, with no charge per rep. Your organisation can hold as many people as you like; the cap applies only to how many are assigned to one show. Need more on a single event? Ask and we add seats to that show.

Is there a contract or monthly subscription?

No. You buy keys when you have shows and nothing when you do not. There is no annual contract, no monthly fee between shows and no automatic renewal.

What is the difference between the Starter and Business plans?

Starter covers capture for up to 5 reps on a show: card scanning with fields read for you, voice notes, selfies, brand colours and export. Business allows up to 12 reps and adds everything that happens after capture: the written debrief from your voice note, lead scoring, drafted email and WhatsApp follow-ups, pre-meeting briefs, the live team board, the chase list and handing meetings between reps.

What does the Enterprise plan include?

Enterprise includes everything in Business plus white-label branding (your logo, your colours, no MeetZaa branding), plain-English questions over your show data, a post-show summary for leadership, CRM integration and unlimited reps per event. If you need something beyond that list, tell us and we build it into your account, visible only to you, priced separately.

What happens when I use up my 20 free meetings during a show?

Everything you have captured stays, and you can read it, export it and follow up on it. To keep adding meetings, buy a key for the plan you want and apply it to the event; capture continues from where you left off.

Can I get a refund on an unused MeetZaa key?

A key that has not been applied to an event can be refunded within 30 days of purchase. Once it is applied to an event it has been used. Write to start@meetzaa.com with the key and we sort it out.

At the show

7 questions

How does MeetZaa capture what was said in a booth meeting?

After the meeting, the rep holds a button and talks in their own words. Thirty seconds is usually enough. That recording is transcribed and written up on the buyer’s record as a summary with the buying signals, the objection and the next step. On Business plans it is also scored and turned into a drafted follow-up.

Can MeetZaa scan business cards from walk-in visitors?

Yes. Point the phone camera at the card and the name, company, title, email and phone are read off it into a new record. The rep holding the phone is attached as the owner, and the walk-in joins the same list as your booked meetings.

How do I get my existing meeting list into MeetZaa?

Upload the Excel or CSV you already have. The columns are matched for you, meeting times are set to the show’s timezone, and duplicates are caught before they become two records for one buyer. You can also add a single meeting by hand for the one fixed over a phone call the night before.

What happens in MeetZaa when a booked meeting does not show up?

The rep taps no-show and the meeting is kept, not deleted. The buyer goes on the next morning’s chase list with their stand number, and any enquiry they sent before the show stays attached to the record. Nothing about a missed meeting depends on someone remembering it.

Can I contact a buyer directly from their record in MeetZaa?

Yes. Each record has WhatsApp, call, email and selfie actions. Tap one and the message or call opens against that buyer, and it is logged on the record so the whole team can see the contact was made.

Does MeetZaa handle multi-day trade shows?

Yes. An event holds all its days, each with its own schedule, feeding one list of buyers. The rep sees today’s meetings and the countdown to the next one, and the manager sees every day of the show on one board.

Does MeetZaa work without internet on the show floor?

Yes. Every meeting, outcome, voice note and card scan is saved on the phone first and syncs to the cloud when the connection returns, so a dead patch of hall wifi does not cost you a lead. The one thing that waits for a connection is the processing: transcription, scoring and drafted follow-ups arrive once you are back online.

Leads and follow-up

8 questions

Does MeetZaa write the follow-up email for me?

On Business and Enterprise plans, yes. The follow-up is drafted from the rep’s debrief, so it opens with the thing the buyer actually raised rather than a template. You get an email and a WhatsApp version, read them, change what you like and send from the record, the same evening.

How does MeetZaa score trade show leads?

Each conversation is scored on what was said in the debrief: volume, timeline, budget and objections. Leads are ranked so the strongest buyer sits at the top of the list rather than the loudest one, and the manager can see the ranking across every rep by the end of each day.

What outcomes can I mark on a meeting in MeetZaa?

Deal, follow-up, not a deal, or junk. Marking an outcome updates the dashboard for that rep and that day, and separates the buyers who need a next step from the ones who do not.

Can I export my leads from MeetZaa after the show?

Yes, on every paid plan and on the free plan. Everything exports to CSV or Excel: contacts, outcomes, debrief summaries and scores. Your data is yours and it leaves with you whenever you want it.

Does MeetZaa integrate with my CRM?

CRM integration is part of the Enterprise plan and is set up with you for your system. On Starter and Business, export to Excel or CSV and import into your CRM; the columns are clean enough to map in one pass.

Can I ask questions about my meetings?

Yes. Ask your show takes a plain-English question and answers it using the debriefs, notes, lead scores and outcomes from that show, citing contacts by name and company. On Enterprise plans you can also ask across every event you have access to: summaries from every show, with full meeting detail from the most recent one. Each person only sees the meetings they are permitted to see.

How quickly can I send a follow-up after a trade show meeting?

The same evening. When the rep records a voice debrief, MeetZaa drafts a follow-up email and a WhatsApp message from what was said. Review it, change what you like, and open it in your mail client or WhatsApp to send. The rep sends, not the system, so replies land in their inbox.

Can I see which follow-ups have been sent and which have not?

Yes. Each meeting record shows whether a follow-up has been drafted, sent or is still missing. On Business and Enterprise plans, the manager can see the count across every rep on the team board, so nothing slips through.

Team and managers

4 questions

Can a manager see what is happening at the stand in real time?

Yes. The live team board shows every rep, every meeting, who has met whom, who is behind and which meetings are overdue. A manager sitting in the office in another country sees the same board as the one standing at the stand.

How many reps can I add to an event in MeetZaa?

It depends on the plan the event runs on: 2 on the free plan, 5 on Starter, 12 on Business, and no cap on Enterprise. There is no charge per rep. Your organisation can have unlimited members; the limit is on how many are assigned to one event. Reps see only the events they are added to, and if a show needs more seats you can ask for them from the event page.

Can I move a meeting to a different rep during the show?

Yes, in one tap on Business and Enterprise plans. If a buyer arrives and their assigned rep is mid-meeting, the manager or the rep hands it to whoever is free and the record moves with it.

What does the end-of-day summary show a manager?

How many met, how many did not, the hot leads, and a breakdown per rep, ready by the time the team leaves the hall. On Enterprise plans there is also a post-show summary written for leadership with wins, risks and recommended next steps.

Data and security

3 questions

Who owns the data I capture in MeetZaa?

You do. Contacts, recordings, transcripts and outcomes belong to your organisation. Export everything at any time, and ask us to delete your account and its data whenever you choose.

Are voice recordings in MeetZaa stored, and who can hear them?

Recordings are stored encrypted with the meeting record and are visible only to your organisation’s users. Reps should tell buyers when a conversation is being recorded; a solo debrief after the buyer leaves needs no consent because only the rep is speaking.

Where is MeetZaa data hosted?

On encrypted cloud infrastructure with access controlled per organisation, so one exhibitor can never see another’s records. If your company requires data in a specific region, ask about the Enterprise plan.

Choosing a tool

4 questions

What is the difference between a badge scanner and MeetZaa?

A badge scanner, often rented from the organiser at a few hundred dollars a device, captures who a person is. MeetZaa captures what they said. Both give you a name and a company; only one gives you the 800 units they asked for, the objection they raised and a follow-up that answers it. It also holds your booked meetings and no-shows, which a scanner never sees.

Is MeetZaa an alternative to tracking trade show leads in a spreadsheet?

Yes, and that is the most common thing it replaces. A spreadsheet gets filled in on Monday from memory by whoever has time. MeetZaa gets filled in at the stand by the rep who had the conversation, in about thirty seconds of talking who had the conversation, while it is still fresh.

Is MeetZaa suitable for a small exhibitor with one stand and three reps?

Yes. That is the exhibitor it was designed for. Pricing is per show from $99 with nothing charged per rep, set-up takes minutes, and your first 20 meetings are free so a small team can prove it on a real show before spending anything.

Which trade shows can I use MeetZaa at?

Any show, anywhere in the world. It is built for exhibitors at large international shows such as those held in Dubai, London, Berlin, Singapore, Frankfurt and Las Vegas, and it works the same way at a regional expo with forty stands. The way you capture a buyer does not change with the venue.
