Trade show lead follow-up
Follow-up that gets replies.
MeetZaa is a trade show meeting management and lead capture platform built for exhibitors. Each follow-up is drafted from what the buyer actually said, the same evening, so it lands while they still remember you and says what they asked for.
Your first 20 meetings are free. Then from $99 per show. No card to start.
Template, a week later

Hi Sofia, great to meet you at the show last week. I’d love to tell you more about our range. Do you have time for a call?
MeetZaa draft, same evening
To: sofia.marin@brightline.example
Hi Sofia, you mentioned the kraft range for the Q1 private-label launch and the 40mm gusset problem with your current supplier. Attached is pricing for the three sizes we discussed, and I can have samples in Vienna by the 9th.
Why do most trade show follow-ups fail?
Because they arrive late and say nothing specific. The buyer met twenty stands, and a template a week later gives them no reason to reply. MeetZaa drafts each follow-up from the rep’s voice debrief within minutes, names what the buyer asked for, scores the lead, and puts everyone who booked but didn’t come on a chase list. Nothing waits for the office.
- Drafted from the debrief, in the buyer’s words
- Ready the same evening, sent by the rep
- No-shows chased before the show ends
The email says what they asked for.
The draft comes from the debrief, not a template. It quotes the launch, the sizes, the supplier problem and the date the buyer gave. The rep reads it, changes a line if they want to, and sends it from their own email under your brand. It reads like the person they met, because it is.

Day 2 · 15:10 · booked
- Q1 private-label launch, kraft range
- Current supplier: gusset failures at 40mm
- Samples to Vienna before the 9th
The best conversations rise to the top before Monday.
Every debrief gets a score and a one-line reason: budget mentioned, timeline given, decision-maker in the room, competitor named. The export sorts by it. The sales team opens the sheet and starts with the buyers who are ready, instead of working through the list alphabetically.
Lead score with reason
| Name | Company | Status | What they need | Next step |
|---|---|---|---|---|
| Sofia Marin | Brightline Packaging | Score 88 | Kraft range, Q1 launch | Samples by the 9th |
| Tobias Weller | Nordvik Logistics | Score 81 | Cold-chain trial, 2 routes | Proposal Thu |
| Rahul Menon | Cedar & Co | Score 46 | Browsing, no timeline | Newsletter |
The buyer who didn’t come still hears from you.
A no-show booked you because they were interested. MeetZaa keeps the record, drafts a short note (“we had eleven-thirty on Day 2, the stand is open until six tomorrow”), and lists them for the next morning. It is the lead every other tool writes off.

The week after
Export lands in the CRM
One row per conversation, with context. The sales team starts from what was said, not from a name.
When should you follow up after a trade show?
The same day, while the buyer still remembers the stand and the conversation. By the following week they have met dozens of exhibitors and your message competes with all of them. MeetZaa drafts the follow-up minutes after the meeting so sending it that evening takes a read and a tap.
Does MeetZaa send the emails for me?
No, and that is deliberate. It drafts each follow-up from the rep’s debrief, under your brand, and the rep sends it from their own email so replies land in their inbox and the buyer sees a person, not a system.
What does the lead score mean?
A number from the debrief with a one-line reason: budget mentioned, timeline given, decision-maker present, competitor named, and so on. It orders the export so the best conversations are at the top when the team sits down on Monday.
What about the people who booked and did not turn up?
They are on the chase list with a drafted note. A no-show booked you because they were interested; a short message the next morning can get the meeting back before the show ends.
How do leads get into our CRM?
Export as CSV or Excel with the summary, need and next-step columns and import into your CRM the way you already do. The point is that what arrives reads like a handover, not a list.
Send your next follow-ups before the flight home.
Every conversation at your next show, written up and drafted the same day. Your first 20 meetings are free, with every feature on.
