What this policy covers

This policy explains how MeetZaa Pvt Ltd (“MeetZaa”, “we”) handles data collected through meetzaa.com and the MeetZaa app.

What we store

Meeting records (name, company, title, contact details, notes, outcomes), voice recordings of rep debriefs, business card images, photos, and event and team configuration. All of this is entered by your team, not collected from visitors to this website.

Where data lives

Data is hosted on Supabase infrastructure. Voice recordings and images are stored in private cloud storage. Data is encrypted in transit (TLS) and at rest. Each organisation’s data is isolated; no other customer can access it.

AI features

Voice recordings are transcribed using OpenAI Whisper. Meeting summaries, lead scores and follow-up drafts are generated using OpenAI or Anthropic Claude, depending on configuration. The recording or text is sent only to produce the requested output. It is not used to train models.

Cookies and analytics

MeetZaa uses essential cookies for authentication. We do not currently use analytics tracking on the marketing site.

Your rights

You can request a full export or deletion of your organisation’s data at any time by emailing start@meetzaa.com. Exports are delivered within 14 days; deletion is completed within 30 days. If you are in the EU/EEA, you also have the right to access, rectification, restriction of processing, and to lodge a complaint with your supervisory authority.

Data you collect at shows

You are responsible for lawfully collecting contact information from people your team meets, including any consent required in your jurisdiction. MeetZaa is a tool your team uses; we are a data processor, not the data controller, for the meeting data you enter.

Changes

We will update this policy as MeetZaa develops. Material changes will be communicated by email to account owners.
